With this Privacy Policy, our intention is to inform you about the types of personal data we collect from candidates, the purposes for which we use the data, and how such data is managed. We also aim to comply with the transparency obligation under the General Data Protection Regulation 2016/679 of the EU (“GDPR”) and the national legislations where the GDPR applies.

For the purposes of this Privacy Policy, the data controller is the companies and our contact details are provided in the Contact section at the end of this Privacy Policy.

Right to object

You have the right, under the law, to object at any time to the following:

(i) the use of your personal information for direct marketing purposes; and

(ii) the processing of your personal information that is based on our legitimate interest, unless there are compelling legitimate grounds for us to continue.

We are committed to protecting the privacy of our candidates, clients, and users of our website. We want to provide a risk-free user experience. We will ensure that the information you provide to us, or the information we obtain through various channels (including our website, written correspondence – including email messages -, conversations or meetings with our consultants, or through any of our offices or websites worldwide), is only used for the purposes set out in this policy.

Legal basis

Under the GDPR, the main grounds on which we may rely to process personal information of our clients and candidates are as follows:

(a) Necessary for the performance of a contract – in order to fulfill the obligations we undertake when providing a service to you, or in order to take steps at your request to enter into a contract with us, it will be necessary for us to process your personal data;

(b) Necessary for compliance with a legal obligation – we are subject to certain legal requirements that may require us to process your personal data. We may also be required by law to disclose your personal data to a regulatory body or law enforcement authorities;

(c) Necessary for the purposes of legitimate interests – we, or a third party, may have a need to process your personal data for the purposes of our legitimate interests (or the legitimate interests of a third party), provided that we have made it clear that such interest is not overridden by your rights and freedoms, including your right to have your personal data protected. Our legitimate interests include responding to requests and inquiries from you or a third party, optimizing our website and customer experience, providing you with information about our products and services, and ensuring that our operations are carried out appropriately and efficiently;

Storage time for information

The period during which we will keep or store your personal information will depend on the services we provide to you and the time during which you need them. Since we often assist candidates in finding job positions for many years, possibly throughout their entire careers, the purpose for which we retain client data is generally ongoing. We regularly conduct data cleaning and updating exercises in relation to our candidates to ensure that (a) the data we hold is accurate and (b) we do not retain data for longer than necessary.

Our standard business terms state that our clients should retain candidate data (such as their CVs) for the purposes of the specific requested position and, as data controllers, they should inform you if they intend to keep your CV in their files to notify you of potential future vacancies or otherwise retain or use your data for other purposes.

Rights regarding the maintenance/storage of information

You have certain rights regarding the personal information we hold about you. Below is information about these rights and how to exercise them. We will require you to provide proof of your identity before we can fulfill your request.

Right of access

You have the right at any time to request a copy of the personal information we hold about you. If we have valid reasons, and if permitted by the GDPR, we may refuse your request for a copy of your personal information or certain elements of the request. If we refuse your request or any part of it, we will inform you of the reasons.

Right of correction and completion of information

If the personal information we hold about you is inaccurate, not up-to-date, or incomplete, you have the right to have such data rectified, updated, or completed. You can inform us by contacting us through one of the methods described in the Contact section below.

Right of erasure

Under certain circumstances, you have the right to request the deletion of certain personal information we hold about you, e.g. if the information is no longer necessary for the purposes for which it was collected or processed, or if our processing of the information is based on your consent and there are no other legal grounds under which we can process the information.

Right to object or restrict processing

Under certain circumstances, you have the right to object to us processing your personal information by contacting us through any of the methods described in the Contact section. You also have the right to object to the use of your personal information for direct marketing and customer offers.

You may also have the right to restrict the use we make of your personal information, for example, in circumstances where you have questioned the accuracy of the information and while we are verifying its accuracy.

Right to data portability

In certain cases, you have the right to receive any personal information we hold about you in a structured, commonly used, and machine-readable format.

The rights described above apply only to personal information that you have previously provided to us and that we process by automated means.

While we have no objection to such requests being made, we cannot guarantee technical compatibility with another organization’s systems. We will also not be able to comply with requests related to personal information of third parties if we do not have their consent.

Most of the mentioned rights are subject to limitations and exceptions. If we are unable to comply with any request to exercise your rights, we will provide a justification.

Job offers notifications

To receive email notifications about job offers, you will need to provide your name and email address or have them provided in any job application on the website. These will be used for the purpose of keeping you informed, by email, of the latest job offers in your industry and sending you news about your industry, as well as information related to our services.

If you no longer wish to receive this information, you will need to notify us through the information provided in the Contact section.

Data collection

We will collect your personal data, which may include, but is not limited to, your name and contact information (including your email address) and other relevant information from your Curriculum Vitae (CV). When we receive your data and CV electronically, this may be done through a direct request made through one of our websites or through an application you have submitted through a third-party job portal.

We may obtain additional personal information about you as our employment relationship with you progresses. This information may be obtained directly from you or from third parties, such as organizations to whom we have provided your CV and who have been in contact with you as part of a job application.

Use of Personal Information

We will maintain, use, and disclose your personal information for our legitimate business purposes, which include:

  • Maintaining our business relationship when you are a user of our website, a customer, or a candidate;

  • Providing our services to you;

  • Allowing you to submit your CV for general inquiries, specific job applications, or to subscribe to our job alerts. Please see the separate CV section below for additional uses and disclosures;

  • Searching for suitable job opportunities, considering your data to help you find a position that matches your profile, and sending your personal information to clients for job applications.

  • Maintaining your data and notifying you about future job opportunities beyond the specific position you have applied for.

  • Responding to your inquiries;

  • Conducting direct marketing of products and services, informing you about news, trends, studies, reports, events we organize, and other information that may be of interest to you;

  • To fulfill contractual obligations with our clients;

  • Providing additional services by sharing your personal information with trusted third parties. You can find more information in the separate section on disclosure of your personal information below;

  • Disclosing personal information to regulatory bodies or law enforcement authorities if required or permitted;

  • In order to offer you personalized content on our website, as well as more relevant communications in our email messages and a service from our consultants that is more tailored to your requirements, we track and record your use and interaction with our website and email messages.

  • We may process, in accordance with local regulations, certain sensitive personal data (known as special category data under the GDPR) when you include such information in the information you submit to us, for example, if you include information about your health or religion in the CV you submit to us. We may also be required to conduct criminal background checks regarding your data in countries where the law requires or permits it. We have processes in place to limit the use and disclosure of such sensitive data beyond the limits permitted or required by law.

How do we share your personal information?

Under certain circumstances, we will share your personal information with third parties. The following are the reasons that would lead us to share the information:

Clients

We disclose your personal information to clients who have job vacancies of interest to you.

Trusted third parties

We will share your personal information and, if necessary, your sensitive personal information with trusted third parties, provided that we have engaged them to provide services requested by you or our clients, such as:

  • Employment reference checks;

  • Qualification verification;

  • Criminal background checks (in accordance with local regulations);

New company owners

If we or our company merge with another company or are acquired by another company, we will share your personal information with the new owners of the company and their advisors. If this happens, you will be notified.

Like most websites, when you visit our sites, we place cookies on your computer or other device. For the most part, these cookies are used to enable website functionality, improve user experience, help us optimize our websites, measure traffic, and for other internal management purposes.

We place advertising banners on relevant and tailored websites around the world to offer you jobs and content that we believe will be of interest to you. The content of these ads is based on your previous interactions with our website, our email messages, and your contact with our consultants. Your interaction with our advertising may be used to measure the effectiveness of our advertising campaigns and to improve our marketing strategy in accordance with our legitimate interests. No advertising campaign or advertising tracking technology records information that can personally identify you.
